Job Summary

The Seneca Park Zoo Society is seeking an employee with an interest in supporting the Zoo to serve as the administrative “front door” to the Zoo in the role of the Administrative Assistant. This role will handle incoming calls, greet and direct guests and perform other general office tasks as needed.

Duties

  • Create and maintain a positive and upbeat first impression for callers and guests.
  • Answer the main phone line into the Zoo and direct calls accordingly.
  • Provide accurate/current information to all guests and callers.
  • Follow established Zoo protocols for issues like emergencies, first aid, lost & found items and lost child.
  • Use two-way radio to communicate with Zoo staff and supervisors.
  • Accept and log in deliveries and notify recipient(s) of packages arrivals and vendors on site.
  • Open and reply to reception e-mails.
  • Schedule use of the Conference Center upon request.
  • Sort incoming mail appropriately and distribute to other Zoo offices after daily mail is received.
  • Post outgoing mail and monitor when postal supplies are needed.
  • Assist other departments as needed.

Physical Requirements

This position requires sitting in an office environment and walking between different office of the zoo for mail distribution. Must be able to lift up to 40 lbs. Requires seeing, speaking, hearing and talking to Zoo guests and staff.

Work environment

This work is primarily in a busy office environment. Due to the schedule of the Zoo, working nights and weekends is expected.

Experience Requirements

  • Minimum of three years’ experience in an office environment, preferably focused on customer service.
  • Excellent customer service skills – in person and on phone.
  • Ability to absorb and retain a wide array of details.
  • Basic computer skills, including familiarity with Microsoft Word, Outlook, Excel and Office 365.
  • Ability to remain calm under pressure or in emergency situations.
  • Ability to work in a team environment.
  • Ability to perform several tasks concurrently.
  • Minimum of a high school diploma or GED required.
  • Valid NYS driver’s license required for use of golf cart to transport guests and/or materials, when necessary.

Bilingual Camp Counselor, Seasonal

Hourly Rate Range: $16.00 – $16.25

Working Hours: Up to 40 hours per week Monday- Friday from late June-August, with limited hours for training in May and June.

JOB SUMMARY

Camp counselors lead educational and engaging camp programs for children ages 3-12. Successful applicants will have experience working with children ages 3-12 and a very strong interest in engaging campers in learning about the natural world and inspiring them to become advocates for wildlife and wild places. They will demonstrate excellent guest relations and public speaking skills, have passion for environmental education, and be knowledgeable about best practices in teaching and learning.

DUTIES

  • Facilitate camp experiences for children ages 3-12, including creative projects, science activities, games, guided Zoo explorations, and animal-related experiences.
  • Prepare and organize creative projects and other activities for camp.
  • Complete check in/out procedures, interact with parents, and facilitate relationships among campers.
  • Participate in training and professional development opportunities.
  • Maintain good working relationships with teammates and other Zoo staff.
  • Communicate clearly and efficiently, in person, on the radio, and through writing.
  • Assist coordinators with other duties, as assigned.

QUALIFICATIONS

  • Working toward or completed degree in education, environmental science, or related field.
  • Possession of a valid NYS driver’s license is required.
  • Must be at least 17 years old.
  • High school diploma required.
  • Teaching certification is a plus.

EXPERIENCE REQUIREMENTS

  • Teaching experience with a variety of ages, preferably in an informal setting.
  • Knowledgeable about best practices in teaching and learning.

Events Assistant, Seasonal

Department: Special Events

FLSA Status: Part Time, Non-Exempt

Hourly Rate Range: $20.00 – $22.00

Working Hours: Flexible hours – averaging 20 hours per week, April – October. Working hours may vary based on scheduled weekend and evening events. Must be available weekends and for occasional evening shifts.

JOB SUMMARY

The Events Assistant provides administrative and hands-on support to the Events Department. Key responsibilities include outreach to vendors, partners, clients/prospective clients, and donors; organization and preparation prior to events; staffing at certain Signature Events, Private Events, and applicable third-party events. Additional responsibilities include general clerical duties such as scanning, copying, filing, data entry, list development, and data cleanup. Work schedule will include daytime and evening shifts; evening and weekend availability will be needed for this role.

DUTIES

  • Provide departmental support for Special Event fundraisers and private catered events.
    • Includes attendance at all Special Events, assisting with event setup and breakdown, preparing site and materials prior to event start, and staffing a support role during events.
    • Assist Special Event Manager with outreach, solicitation of silent and live auction items and wine and spirits, communication with tasting trail vendors. Zoobilation data entry into Greater Giving Database for silent auction procurement.
    • Provide administrative support for Zoobilation, ZooBrew, Jungle Jog 5K Run/Walk, Wine for Wildlife and Spooktacular.
    • Communication with corporate sponsors regarding logos and guest lists, other sponsorship administrative support as needed.
    • Attending event debriefs and helping to capture detailed reports.
    • Support Events Manager with any third-party fundraising events, including administrative and planning duties.
    • As schedule permits provide event support for donor events.
  • Assist Private Events and Corporate Engagement Manager with research and outreach to potential private clients and participate in client site visits. Provide additional private event support when needed such as golf cart driver, greeter or event check in, occasional substitution as primary host.
  • Assist Event Manager with maintaining up-to-date Event files.

SUPERVISION

This position has no supervisory responsibilities.

PHYSICAL ACTIVITY

This position requires sitting, walking, standing, speaking, hearing, interacting with guests, and staff. Will work at a computer for some extended periods of time. Lifting and carrying (less than 40 pounds) is expected. Ability to be up and and moving throughout Zoo grounds during an event.

WORK ENVIRONMENT

Administrative work is performed primarily in an office environment with moderate noise. Event shifts are performed on Zoo grounds with groups of 30-3000 guests and will require moving to various locations throughout Seneca Park Zoo with exposure to outdoor elements. The work schedule will require weekends and evenings to meet the needs of the position. Management retains the right to alter work schedules accordingly.

Qualifications

Must be 21+ with Valid NYS Driver’s License

EDUCATION REQUIREMENTS

Associate’s Degree or equivalent years of experience is required.

EXPERIENCE REQUIREMENTS

One to three years’ related or applicable experience.

Excellent communication and organizational skills.

TRANSPORTATION REQUIREMENTS

Own vehicle is not required; however, some working shifts will conclude at late hours when public transportation is less accessible.

SKILLS AND COMPETENCIES REQUIREMENTS

Strong attention to detail and be dependable, organized, and able to adapt to changing demands and environments. Ability to set priorities and to meet established deadlines with limited direct supervision.

Ability to effectively transition between multiple duties.
